Proposed venue. Price seems fair to me.

I spoke with a representative of this venue: www.ihecs.be

We'll need to provide a list of any additional requirements for an exact price, bit a suggested figure is €960 for the venue itself without technical assistance, catering, etc. which we may or may not want.

It is currently available for hire the weekend that we want.

I spoke with Sven and this price seems reasonable to him.

Can I have clearance to go ahead and negotiate its booking?

Is a vote required or just an ok from Sheperd? What is the procedure that must be followed?

We are keen to wrap this up swiftly, of course.

The Bedford hotel is very close to IHEC.

I would think that a University or some place might have free space for such an event, but I know that most if not all conferences dont go that way for some reason. $960 sounds reasonable as far as standard rental rates for a big room goes though. How much is techinical assistance? Im assuming that means mics podiums water station, greeting table and things, but Im not sure. Or is there another arrangement for mics and what not?

I think your next step is post a link to this in the votes and important issues section, give it atleast a day, if favorable feedback then write up a vote and pm Caliban to second it and initiate it.

The university declined because they are closed on Sunday.

If you can get a media outlet or two to say theyll cover it ahead of time I would think it should be pretty easy to get a sponsor or two at that point.

If you think Godfried Daneels might make a good speaker I would be sure to contact him. I can do it if you want.
