2010 conference marketing

What are the marketing avenues for this conference?

There is a singularity summit in Australia in September. I would send them some posters for the October conference. Then do the same with any other conferences and summits coming up before October that are related. Heres the contact for the Aus Sing Summit - Adam Ford, tech101@gmail.com

I dont know if it would be voted in, I think its a good idea to put up a billboard in a smaller abutting municipality of Brussels to advertise this. Ive been trying to contact places that rent billboard space around Brussels but I cant get through to them. I get answering machines and a woman that seemed to have spoke an asian dialect and bad english that I couldnt understand.

Then I assume somebody is on contacting all the universities in and around Brussels?

We should also come up with a list of ten or so newspapers and other news outlets and get them set up to send event notices to.

We'll want to cover the area around the auditorium itself with posters, probably 2 weeks before hand. Who all is presently in that area, just Sven?

What else, other ideas?

News papers

Het laatste nieuws (370.000 sold each day)
Gazet van Antwerpen (135.000)
Het nieuwsblad (260.000)
Metro (free - in train stations)

These are the four biggest (most read) newspapers in the Flammish part.

Others: De standaard (85.000), Het belang van Limburg (100.000), De Morgen (50.000), De tijd (only economic news, 45.000).

French: La Dernière Heure, La Libre Belgique (60.000), La Capitale, Le Soir (100.000), L'Echo, and L'Avenir.

Then I assume somebody is on contacting all the universities in and around Brussels?

We'll want to cover the area around the auditorium itself with posters, probably 2 weeks before hand. Who all is presently in that area, just Sven?


Didier and Alexander live in Brussels. Kris can make publicity in the University of Antwerp and I can do it in Ghent. I'll ask my prof. to give me a few min. before the lesson to announce the conference.

In my local newspaper you can announce events for free, not sure how it is in all of those papers.

Do you want me to extract all of the phone numbers and addresses, or just addresses, or also email, etc...?

I can find somebody to call each one and ask who to talk to about putting up posters that we may send. If they say theyll put them up then we can ask them how many they think would get the message out well and send them that many.

Can you send me Didiers skype, can you call a billboard agency or two and ask how much 4 weeks is for a non profit,(We may not do it but just so we can get an idea.) and if you know of any other events, conferences, etc.. related to this cause going on before October then lets list them here.

I've just looked for advertisement in "het Laatste Nieuws" and they offer two different packages: (i) advertisement in the printed version, or (ii) advertisement online (the site gets about 300.000 visits each day). No prize was mentioned on the website but I've got the e-mail and telephone numbers for the advertisement division. What would you like to do? Online or printed? And how much would you be willing to spend because I think that such an advertisement might be quite expensive.

Metro has the prize on their website. An add of 50x45 mm costs 1.400 euro in the Dutch version, 1475 in the French and 1725 for both. Multiplied with the certain number depending on the page that you want (for fourth page you have to multiply the cost with 1.25). Prices without BTW. The most expensive one is a 'pano' (this means a fold-out of 4 pages) this costs an amazing 82.000 euro for both the Dutch and French version :wacko:

From my experience I think that an add in a normal newspaper will probably have little effect. Most readers will not register for a scientific conference. Something much cheaper and much more effective would be to advertize in the 'specialized' literature. For example in Mens & Molecule. This is a Dutch magazine published by the Royal Flemmish Chemical Society and is focussed on a public of chemists and biochemists. This magazine has a special section where they announce seminars and conferences.

Ive got a list of contact emails and phone numbers for most of these Universities:

Faculté Polytechnique de Mons
Katholieke Universiteit Leuven
Limburgs Universitair Centrum
Royal Military Academy
Université Libre de Bruxelles
University of Antwerp
University of Ghent
University of Li?ge
University of Namur
Vesalius College (Vrije Universiteit Brussel)

The info I compiled are of heads of research departments, professors in the field, and general contact info for some of the places that either dont do research or I couldnt find. Im not sure if I should post all those emails here. Somebody let me know. I can send them to somebody in private. If you want, I can also extract them all so they are one big list of emails. Right now they are emails mixed amongst names, phone, etc...

Yet another thing that I can do is wait here with this list until somebody sends me a text that I can copy and send out to them. Let me know, thanks.

Yes, it was this latter option for which I was hoping to hear the cost. If you know it, that'd be great. Also, the deadline for inclusion. There is no point in getting an ad now if it's not going to appear until next month's issue. But if we can have one, that's great.

As for how much I'm willing to spend, I prefer not to operate that way. Putting an amount on table means that if the amount available is more than necessary, then more than necessary will be spent (not good). On the other hand, if the amount available is less than necessary, the thing doesn't get done (not good) even if the amount put on the table was somewhat arbitrary (which it would be, as I'd be guessing until I know a price).

So instead, I prefer to simply find out how much stuff costs then decide if I am willing to pay it.

So, if you could find out, that'd be fantastic, thanks.

I think that level of informality will be fine. The worst result is they won't do it, which is not the end of the world.

I would only adjust the last line:

"If you send this letter out to your University email contact lists then let me know. If you will also hang up 3 posters then let me know and we will send them out to you right away."

to read perhaps

"If you could send this letter out to your University email contact lists, that would be fantastic. Please let me know if you do that, as it will help with logistics for us. just to soften it a little.

Suggestion: (i) add Stephen Spindler to the list; (ii) remove: book “The Long Tomorrow”. Michael Rose has written more than one book and furthermore the line underneath the name is for his subject of inquiry (evolutionary biology) and things such as prizes, leadership positions in organizations,...

I'm already doing the University of Ghent so you don't have to send them a mail. I have already put up one poster and will do more next Monday.
